This Privacy Policy explains how I, Kira Read (ABN 84 105 440 645), collect, use, store and disclose personal information through kiraread.com and when providing my product marketing services.

Information I collect

Depending on how you interact with me, I may collect:

  • your name, email address, company, role and contact details;
  • information you include in a contact form or email;
  • booking details, including your selected time, time zone and calendar information;
  • briefs, documents, links and other materials you provide before a session;
  • payment and transaction information, such as payment confirmation and refund details;
  • correspondence and notes relating to our work;
  • audio, transcripts and AI-generated notes from a session, but only where you have consented to AI transcription;
  • technical information about your visit to kiraread.com, including your device, browser, approximate location, pages viewed and referral source.

Please do not provide sensitive personal information or confidential third-party information unless it is necessary and you have permission to share it.

How I collect information

I collect information directly from you when you:

  • submit a form on kiraread.com;
  • contact me by email;
  • book or pay for a session;
  • provide a brief or supporting materials;
  • attend a session;
  • otherwise communicate or work with me.

Some information is also collected or processed through the service providers listed below.

How I use your information

I use personal information to:

  • respond to enquiries;
  • arrange and manage bookings;
  • prepare for and deliver consulting sessions;
  • process payments, cancellations and refunds;
  • review materials you provide;
  • prepare and send written follow-up notes;
  • maintain business, tax and accounting records;
  • operate, secure and improve kiraread.com;
  • understand how visitors use the website;
  • prevent misuse, fraud or security incidents;
  • meet legal and regulatory obligations.

I do not sell or trade personal information.

Payments

Payments are processed by Stripe. Stripe collects and processes your payment details under its own privacy policy and security practices.

I receive transaction information such as your name, payment status, amount paid and limited payment-method details. I do not receive or store your complete card number.

AI transcription and meeting notes

If you give your consent, I may use Notion AI Meeting Notes to transcribe a session and help produce a summary and follow-up notes.

Notion processes meeting audio to create a transcript, summary and action items and may use its AI subprocessors to provide these features. I review and edit the written notes before sending them to you.

I will not intentionally begin AI transcription without your consent. If you do not consent, the session can proceed without AI transcription.

Unless I tell you otherwise, I do not download or retain a separate audio recording. Notion may temporarily process audio as part of providing its transcription service.

You can withdraw your consent before or during the session. You may also ask me to delete a transcript, subject to any information I must retain for legal or dispute-resolution purposes.

If I change transcription providers, I will tell you before the session and update this policy where appropriate.

Website analytics and cookies

Kiraread.com uses Google Analytics to understand how visitors use the website.

Google Analytics may collect information such as:

  • pages visited and actions taken;
  • session statistics;
  • approximate location;
  • browser, device and operating-system information;
  • a pseudonymous identifier stored in a cookie such as _ga.

I do not intentionally send names, email addresses, form contents or other directly identifying information to Google Analytics.

You can accept or reject analytics cookies through the website's cookie notice. Essential cookies and similar technologies may still be used to operate and secure the website.

Service providers

I use third-party services to operate my business and deliver services. These currently include:

  • Cloudflare for website hosting, delivery and security;
  • Google Analytics for website analytics;
  • Google Workspace, including Gmail and Google Calendar, for communication and scheduling;
  • Cal.com for bookings;
  • Stripe for payments;
  • Zoom for online sessions;
  • Notion, including Notion AI Meeting Notes, for transcription, notes and business records.

These providers process information under their own terms and privacy policies. They receive only the information reasonably required to provide their services.

I may also disclose information to professional advisers, insurers, regulators or authorities where reasonably necessary or required by law.

Overseas processing

Some service providers may store or process information outside Australia, including in the United States and other countries in which they or their subprocessors operate.

The privacy and data-protection laws in those countries may differ from Australian law. I take reasonable steps to use reputable providers and appropriate account and security settings.

Retention

I keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

As a general guide:

  • contact enquiries may be retained for up to two years after the last interaction;
  • briefs, correspondence and written session notes may be retained for up to two years after the session or engagement;
  • AI-generated transcripts are generally deleted from my active workspace within 30 days after the written notes have been provided;
  • payment, tax and business records are retained for the period required by law;
  • analytics information is retained according to the settings configured in Google Analytics.

Information may be deleted earlier where it is no longer required, or retained longer where reasonably necessary to resolve a dispute, protect legal rights or comply with the law.

Security

I take reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure or alteration. These steps include using reputable service providers, access controls, secure accounts and appropriate authentication.

No online service or method of storage can be guaranteed to be completely secure.

Access, correction and deletion

You may ask to access or correct personal information I hold about you. You may also request deletion where the information is no longer required, subject to legal, accounting and dispute-resolution obligations.

Privacy concerns and complaints

If you have a concern about how your information has been handled, contact hello@kiraread.com. I will review your concern and respond within a reasonable time.

Where the Australian Privacy Act applies, you may also be able to make a complaint to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

I may update this Privacy Policy if my services, providers or legal obligations change. The current version will be published on this page with its latest update date.
